Financial activities can be recorded directly through register. However, for those linked with external entities, RealCIX encourage you to make recording in correspondence and/or tax module first. After register, these accounting documents can be measured against budget if you has setup budget for corresponding periods and items. Both predefined and user-customized reports are based on dynamic data and currency revaluation can be conducted on demand. Please note some of advance functionalities of analysis and 2nd local currency revaluation are supported only by commercial edition.</p> <p>To know more about making register through correspondence/tax at first, please goto <A href="520t.html">Correspondence document</A> and <A href="530tax.html">tax document</A>.</p> <p>To do register creation, click the right navigation tree of My book -- Register. Then press F5. You can also right click on the result set of register, and choose menu of "New Object". To maintain old register object(s), choose it and choose menu of "Edit Object" or by press F6.</p> <p><img src="./image/510create.png" align="Top"> </img> </p> <p>In this window, you can see 3 buttons of confirm, cancel, and help. Confirm will save your work and cancel will discard what you have done in whole register create/edit. Help will bring you to this help page.</p> <h2>There are 2 tabs in header information. For tab Main, there 4 fields as below waiting your input.</h2> <ul type="CIRCLE"> <li><b><i>Register</i></b>, this the identity of a register document. RealCIX has generated a default value which is the max identity of all register plus 1. However, sometimes, you may want to use another value. Change it as you wish. RealCIX will check the data and keep data integrity for you. Please note, you cannot change it once you save this register.</li> <li><b><i>Ana. type</i></b>. RealCIX use this field to help you to differentiate register documents so that they can store and analyze data for different purpose. There several predefined values in system. "Real" is for real registers. It is specified by Real analysis type global setting. "Todo" is for tasks in coming future. "Template" is for template document only which can used as template for use to create register by copy this document. RealCIX has flexible copy create mechanism, you can goto <A href="#copycreate">Create register by copy</A>. But a template document can serve this purpose in 100 percentage. Ana. type can be organizaed by analysis profile hence analysis can group result using analysis type combination easily.</li> <li><b><i>Register date</i></b>. It is the document date from business point of view. Set to that date the underlying finance activity really happens although it is set to today as default value already. RealCIX will use the value of this field to determine the default exchange rate for you-selected currency against your local currency. Please refer to <A href="#xrandamountfields">exchange rate and local amount calculation </A>for more details.</li> <li><b><i>Text</i></b>. Description of whole register.</li> </ul> <p>For tab document data, you don't have chance to change anything, As they are populated automatically by RealCIX to trace who and when create and modify this register. So just let them be.</p> <h2>After you fill in header information, you can add item one by one.</h2> <p>Right click the items area as in above screen copy, click context menu Add or just press function key F5. You will enter into item window as this screen capture,</p> <p><img src="./image/510create ri.png" align="Top"></img></p> <p>We will go through it tab by tab and field by field</p> <p>Main tab</p> <ul type="CIRCLE"><li><b><i>Register item</i></b>. This is the number identifing the register item. You must input it manually. But don't change it when edit register as this may broken relationship with other item.</li> <li><b><i>Text</i></b>. Item description</li> <li><b><i>Ledger</i></b>. According to dictionary definition, ledger is a book in which the monetary transactions of a business are posted in the form of debits and credits. In RealCIX, it controls which field or field group you can fill up specific information. For example, if you specify a ledger of fixed assets, then you can choose corresponding fixed asset for this register item.</li> <li><A name="xrandamountfields">Amount groups including <b><i>transaction amount</i></b>, <b><i>transaction currency</i></b>, <b><i>local currency</i></b>, <b><i>exchange rate</i></b>, and <b><i>local amount</i></b></A>. You have to input them transaction amount and transaction currency manually. RealCIX will determine exchange rate based on the register date in register head, transaction currency, and local currency. You have to activate this transaction currency in currency table and maintain a exchange currency rate record in your database through settings -- exchange rate function whose valid date is earlier than that register date. Otherwise either the transaction currency cannot be chosen in runtime or the exchange rate cannot be determined. However, you can manually change the exchange rate for this register item specifically. And don't forget to trigger local amount calculation by push the button in exchange rate field. This calculation will be triggered automatically if you use RealCIX auto-proposed exchange rate. All amount will be formatted according to you localization setting and the fraction points setting of corresponsding currency.</li> </ul> <p>Correspondence tab</p> <ul type="CIRCLE"><li><b><i>Name space</i></b>, <b><i>partner</i></b>, and <b><i>partner account</i></b>. You will maintain the value for 3 fields through only field of partner account. Just push the button in this field. The ledger field control which partner account can be used here. You maintain ledger property through settings -- partner function. Please goto <A href="250p.html">partner maintenance</A>.</li> </ul> <p>Material tab. This tab store information mainly on purpose of analysing your material flow information. RealCIX recommend you to ask your partner to input these information in electronic voucher so that you don't need to input them in second hand. However, it's possible to enter these information manually at first them link the electronic correspondence manually.</p> <ul type="CIRCLE"><li>Fields of <b><i>material</i></b>, <b><i>UoM</i></b>, <b><i>quantity</i></b>, and <b><i>price</i></b>. RealCIX try to assign values to 4 fields in 1 time by records which is a selection of your historical records. However, you can input each field manually by keyboard.</li> </ul> <p>Fixed asset tab.</p> <ul type="CIRCLE"><li>You can get a <b><i>fixed asset</i></b> list with its ledger property value equal to ledger in main tab. You can maintain fixed asset master through Setting -- Fiexed asset function. Otherwise you cannot select any fixed asset herel.</li> </ul> <p>Investment tab. This tab store infromation of your investment. RealCIX recommend you to ask your broker partner to provide electronic voucher so that you don't need to input them in second hand. However, it's possible to enter these information manually at first them link the electronic correspondence manually.</p> <ul type="CIRCLE"><li><b><i>Investment market</i></b>, <b><i>investment product</i></b>, and <b><i>UoM</i></b>. You can input these 3 fields through investment product selection once. But you still can change UoM manually if the selected one doest not match the actual. You maintain investment master data through Setting -- Investment market, investment product functions.</li> <li><b><i>Investment product quantity</i></b>. Quantity of your investment product this time.</li> <li><b><i>Investment product price</i></b>. Price of your investment product this time.</li> </ul> <h2><A name="assigntobudget">Assign to budget</A></h2> <p>In function of register create/edit, You can assign to budget by select 1 register item and right click for pop up menu and choose "Assign to budget".</p> <p><img src="./image/510assigntobudget.png" align="Top"></img></p> <p>There are two tables in this window. Upper one contains the list of the budgets you can assign. Lower one contains the list of the budgets you have assgined to. For upper one, you can toggle a filter between all budgets and only current month budgets. For lower one, there is a right click context menubar of 2 menus. You can select 1 assigned budget and change the amount you want to assign. Or you can distribute the amount of this register item among all assigned budgets in average.</p> <p>You can confirm or cancel what you have done by button of confirm and cancel in this window. Anyway even if you confirm now, you still have chance later to save or discard what you have done when you are going to exit this register document create/edit.</p> <h2>Facilitate functionalities </h2> <p>In function of register create/edit, you can set minus for 1 or many register items one click. Just select 1 or more register items then right click and choose <b><i>Set minus</i></b> context menu.</p> <p>In function of register create/edit, You can copy and add for 1 register item by select and right click.</p> <p>In function of register create/edit, You can quickly make the balance of all register items to zero by right click and choose <b><i>Balance by this item</i></b>.</p> <p><A name="copycreate">In the register object navigation list, you can quickly create a new register by copy selected 1 more register or register items.</A></p> </BODY> ⌨️ 快捷键说明
