Recipient(s) including you can decrypt received correspondence document by pre-exchanged public key of sender. Participants involved in this exchange procedure are call partners in RealCIX. You must setup partner master and exchange your own public key with your partners before you can exchange correspondence documents each other. We believe this is a good way to own high efficiency and strong security. For details on how to setup partner master and exchange public key, please read <A href="250p.html">Partner setup</A>, <A href="140ruser.html">User management</A>, and <A href="290taxdep.html">tax deartment setup in tax type settings</A>. In RealCIX, Users, partners, tax department are mapped into one place - partner objects. However, separate functionalities are designed to make partner maintenance easy.</p> <h2>Correspondence document include header and item information</h2> <p><img src="./image/520correspondence.png"></img></p> <p>Attention to 3 buttons at the bottom of this window. <b><i>Save and Export</i></b> means save your work and export this document to a file so that you can send it to your dedicated partner specified in this document. <b><i>Confirm and register</i></b> will save your work and create a register document. The old register document (1 or more as correspondence document items in 1 document may map to register document item in different register document, if exists already) will be deleted and a new register document will be generated by RealCIX automatically. <A name="ledgerdetermination">The ledgers are determined by partner account you selected for relevant correspondenc document item.</A><b><i>Confirm</i></b> will only save this correspondence. No register document will be impacted.</p> <h2>Header part</h2> <p>Main tab</p> <ul type="CIRCLE"><li><b><i>Correspondence</i></b> is the ID of this document. RealCIX will check it against other correspondence document and prevent duplication.</li> <li><b><i>Your number</i></b> is the referrence number which is used as correspondence ID in your partner's RealCIX database. RealCIX will maintain this field automatically and user dont' need to input its value manually. Recipient of a correspondence will be proposed a default value which is the correspondence ID in send's RealCIX database. He then can send a confirmation back hence the sender will get this field populated. Anyway, you can change the default value if you want to use this field for other purpose, e.g., correspondence can not be fully finished.</li> <li><b><i>Correspondenct type</i></b> is predefined by RealCIX. The original creator of this correspondence document decide which type will be used. And we suggest you don't change it.</li> <li><b><i>Name space</i></b>, <b><i>Partner</i></b>, <b><i>Partner account</i></b> specify which partner you want to do business with and which account of her/him you want to use. RealCIX will determine the private key to encrypt the file exported upon request of <b><i>Save and export</i></b>. This determination take the user and user partner account of this partner account first. The private key stored in the user partner account record will then be fetched.</li> <li><b><i>Text</i></b> is the description of this document.</li> </ul> <p>Correspondence date tab</p> <ul type="CIRCLE"><li><b><i>Request date</i></b> is the request date of the sender.</li> <li><b><i>Due date</i></b> is notification to the recipient that the sender want this document is valid since on this date. Partners involved can set other business semantics these 2 field means.</li> </ul> <p>Receiving Bank tab</p> <ul type="CIRCLE"><li><b><i>Receiving bank naming space</i></b>, <b><i>Receiving bank</i></b>, <b><i>Receiving bank account</i></b> identifies which bank account are tobe used to receive bank transfer. Sender can specify 1 bank account of either his own or the recipient up to who will be the money receiver. The receiving bank information must be exchanged during partner master information exchange. For detail, goto <A href="250p.html"><b><i>partner setup</b></i></A>. </ul> <p>Document data tab</p> <ul type="CIRCLE"><li>Document history information who, when create/last change this document. You don't and can't do any thing for these fields instead of knowing these information.</li> </ul> <h2>Item part</h2> <p><img src="./image/520correspondenceitem.png"></img></p> <p>Let's go through each tab one by one.</p> <p>Main tab</p> <ul type="CIRCLE"><li><b><i>Correspondence item</i></b> is the ID of this item. Don't change this field when edit correspondence document as this is part of key which may link to other documents.</li> <li><b><i>Text</i></b> is the description of this item.</li> <li><b><i>Service</i></b> is the service sender provides to recipient. E.g. bank account provide deposit, withdraw services etc.</li> <li><b><i>Transaction currency</i></b> and <b><i>transaction amount</i></b> are input by sender first. Recipient must maintain this transaction currency and its exchanage rate as well. Otherwise, It cannot generate register finally in recipient database.</li> </ul> <p>Material tab</p> <ul type="CIRCLE"><li><b><i>Materil</i></b>, <b><i>Material UoM</i></b>, <b><i>Material quantity</i></b>, and <b><i>Material price</i></b> can be assigned value together in one click if a record is selected from register history. You can change any of them manually. But the history here cannot be used for purpose of input facilitation in future.</li> </ul> <p>Investment tab</p> <ul type="CIRCLE"><li><b><i>Investment market</i></b>, <b><i>Investment product</i></b>, <b><i>Investment UoM</i></b>, can be assigned value together in one click if a record is selected in investment master and correspondence type is <b><i>T</i></b>. Please goto <A href="310im.html">Investment market</A> and <A href="320ip.html"> Investment product </A> for more details on how to setup investment master.</li> <li><b><i>Investment quantity</i></b> and <b><i>investment price</i></b>. Just input value. Quantity format are controlled by UoM of this investment product and your localization. Price format are controlled by default fraction points and your localization.</li> </ul> <p>Register information tab</p> <ul type="CIRCLE"><li><b><i>Register</i></b> and <b><i>register item</i></b> combination is the link with register document. You can change this link manually. However, the specified-here register document(s) will be deleted and a new register document will generated as the result of this correspondence document. There are exactly 1 item mapping to 1 item in this correspondence document. 1 more balance register item may be created if the total balance of this correspondence document is not equal to zero.
