Exchanging Information with MS Word 

You can import and export information to and from and MS Word for Windows 95.  Macros to provide this facility are contained in an 'UNSUPPORTED' directory on the production CD . These can be used with to transfer information between BPwin and MS Word.  If you attach a new MS Word file to the Nodetree.dot template, MS Word creates two files Nodetree.doc and Arrow.doc. You can enter node tree and arrow names and definitions directly into these files, and then spell check, organize your activities hierarchically in your node tree outline, and proofread, print, and distribute the documents for comment. After you have entered the data, you can export the Nodetree.doc and Arrow.doc files to tab-delimited text files. Thesee are then imported to BPwin via the File Import options

Exporting  arrow and node tree information from BPwin into MS Word is just as easy.  Use File Export Arrow or Activities as required . Again, you create a new MS Word file and attach the Nodetree.dot template to it. You can then click on the Import from BPwin button to retrieve arrow or node tree information or both from an open BPwin model or from saved, tab-delimited text files.

NOTE the Export or Import directly to BPwin will not always work BUT using the Tab Delimited File method appears successful

Installing the templates

Simply copy the *.dot files from the UNSUPPORTED\Office 95 directory to the \Msoffice\Templates directory (or wherever the master office template directory is located).

Using the Nodetree.dot Template 

The BPwin Nodetree.dot file is an MS Word template that adds BPwin import/export capabilities to your word processing environment. When you attach Nodetree.dot to a standard MS Word file, MS Word displays a special BPwin toolbar that supports file import and export to BPwin, validation of a node tree outline, and custom Help information.  The BPwin Nodetree.dot toolbar buttons that are added to MS Word are explained below:




To create a node tree or arrow file in MS Word 

1.	Open MS Word.

2.	Select New from the File menu. MS Word displays the New dialog in which you can select a template for the new document.

3.	Choose Node Tree and click OK. MS Word opens two new, blank documents, prompts you to name them Nodetree.doc and Arrow.doc, and displays the MS Word Outline and BPwin toolbar buttons. If you do not see the BPwin toolbar buttons on screen, select the Toolbars option from the View menu and click on the BPwin menu option.

4.	Type your node tree outline into the Nodetree.doc document, using the MS Word outlining buttons to move and indent activity items within the node tree hierarchy. To add an activity definition, press the ENTER key to move to the line following the activity name, type the definition, and apply the Normal text style. See your MS Word documentation for information on using the outlining features and selecting text styles.

5.	Type your arrow information into the Arrow.doc document. Use the Head1 text style for arrow names and use the Normal text style for arrow definitions. See your MS Word documentation for information on selecting text styles.

6.	When both files are complete, click the Validate toolbar button to check that you have constructed a valid BPwin node tree and make any suggested corrections. Choose one of the following:

n	To temporarily leave MS Word and save your unfinished files, select Save from the MS Word File menu.

n	To export your files, click the Export to BPwin toolbar button and follow the procedure for saving and exporting MS Word node tree and arrow files to BPwin. NOTE when prompted ensure that you do not 'export to BPwin ' but to file.




To Import MS Word node tree and arrow files to BPwin 

1.	Open your node tree and arrow information files in MS Word. Attach the Nodetree.dot template to the node tree document, if not already attached.

2.	Click the Export to BPwin toolbar button to save and export the MS Word node tree and arrow text files. MS Word displays the Export Node Tree dialog.

3.	Choose one of the following options:

n	To export your node tree file, click Node Tree . MS Word displays the Save As dialog. Click OK to save your node tree file using the existing file name and path (such as C:\Bpwin\Nodetree.doc), or type a new file name and/or change the suggested path to save your node tree file under a different name.

n	To export your arrow file, click Arrow . MS Word displays the Save As dialog. Click OK to save your arrow file using the existing file name and path (such as C:\Bpwin\Arrow.doc), or type a new file name and/or change the suggested path to save your arrow file under a different name.

n	To export both node tree and arrow files, click Both . MS Word displays the Save As dialog and prompts you to save the node tree file, then prompts you to save the arrow file.

	When you save your file(s), MS Word saves a standard MS Word file with the .doc extension (such as Nodetree.doc and Arrow.doc or both) and also saves the information in a tab-delimited text file with the .txt extension (such as Nodetree.txt or Arrow.txt or both). The text files can be imported directly into BPwin.

Note:	When you save and export node tree and arrow information, you must name the files in conformance with Windows 3.x file naming requirements. The BPwin Nodetree.dot template does not support the use of Windows 95 long file names.

4.	After the files are saved, MS Word asks if you want to export the newly created text file(s) to BPwin. Choose one of the following options:

n	To open BPwin and export the file(s) into a new model, click Yes. BPwin creates a new model and adds the activity and arrow information in the text file(s) to the BPwin model dictionary, as required. BPwin becomes the active application.

n	To exit the Export to BPwin macro, click No. MS Word remains the active application.

Note:	Once your node tree and arrow files are saved using the Export to BPwin macro, you can import them at any time into a BPwin model. In BPwin, click Import on the File menu then click Node Trees or Arrows and select the appropriate text file (as entered in Step 3 above).

The Nodetree.txt file does not differentiate between IDEF0 and DFD activities on import or export.


Exporting Arrow and Activity Information 

When you choose Export from the File menu then choose Arrows from the Export submenu, BPwin opens the Export Tabbed Arrows from Model dialog. When you enter a file name and click OK, BPwin creates a tab-delimited text file that contains the contents of the arrow dictionary. The column headings and one row of sample data for an arrow tab-delimited file are shown below:

Note:	You can also create an ARROW.TXT file using the Nodetree.dot template. This file is also in tab-delimited text format, but contains the arrow name and definition information only.

When you choose Export from the File menu then choose Activities from the Export submenu, BPwin opens the Export Tabbed Activities from Model dialog.

When you enter a file name and click OK, BPwin creates a tab-delimited text file that contains the contents of the activity dictionary. The column headings and one row of sample data for an activity tab-delimited file are shown below:

The tab-delimited text files created by BPwin follow the formatting rules outlined below. If you create a tab-delimited text file that you want to import into BPwin, it must also comply with these rules.

n	The first line of each file must contain the column headings.

n	All lines subsequent to the first line are used for data.

n	Each column heading and data value (except the last value in each row) is followed by a tab [] character. If there is no data for a column, you must still include the tab.

n	Each line in the file is separated by a carriage return/line feed (CR/LF).



To import BPwin text files to MS Word 

1.	Open MS Word.

2.	Choose New from the File menu. MS Word displays the New dialog in which you can select the template for the new document.

3.	Choose Node Tree and click OK. MS Word opens two new, blank documents, prompts you to name them Nodetree.doc and Arrow.doc, and displays the MS Word Outline and BPwin toolbar buttons. If you do not see the BPwin toolbar buttons on screen, select the Toolbars option from the View menu and click on the BPwin menu option.

4.	Click the Import from BPwin toolbar button. MS Word displays the Import Node Tree dialog. This dialog lets you import arrow and node tree information from either an open BPwin model or from tab-delimited files. CHOOSE FILES ONLY NOTE you must have already Exported these files from BPwin previously

5.	Click File to import node tree and arrow tab-delimited files (such as Nodetree.txt and Arrow.txt). MS Word prompts you to select an existing node tree file.

6.	Click OK. MS Word displays the Open dialog.

7.	Select an existing node tree text file that you have previously exported from BPwin or saved using the Nodetree.dot template (such as Nodetree.txt). Click OK to select the file. MS Word prompts you to select an existing arrow file.

8.	Click OK. MS Word displays the Open dialog again so that you can select the text file that contains your arrow information.

9.	Select an existing arrow text file that you have previously exported from BPwin or saved using the Nodetree.dot template (such as Arrow.txt). Click OK. MS Word imports the node tree and arrow information from the text files and returns screen focus to MS Word.

10.	In MS Word, you can edit, reformat, save, and print the imported text files. 

Note:	The Nodetree.txt and Arrow.txt files must be in the same directory for MS Word to complete the import. You can create the .txt files for export in BPwin by clicking Arrow or Node Tree on the Export menu.

The Nodetree.txt file does not differentiate between IDEF0 and DFD activities on import or export.
